Duplicates of contacts and companies very often occur in CRM during the leads generation process.
There may be several reasons for this:
  • A client may leave requests repeatedly on the website, which was improperly integrated, so these requests may create duplicates.
  • Import of the old client database.
  • Managers may manually create new contact or company cards for the same clients.
  • Kommo built-in tool for finding duplicates does not always work correctly, especially when it is needed to find duplicates by an additional custom field, such as Tax ID.

Why are duplicates bad?

There might be confusion when working with contacts: duplicates take up extra lines, these being limited in the contacts list. It also seizes resources (for example, when mass mailing to all the clients from your database).
To control this manually is almost impossible, so Komanda F5 developed a tool that once and for all solves the problem of duplicates in Kommo. The widget, upon installation, is built into the Kommo interface and allows you to search for duplicates in contacts and companies lists by any field, including additional and custom ones.

How does it work?

After installing the widget, two additional menu items «Search for contact duplicates» and «Search for company duplicates» will appear in the lists of contacts and companies.

Preventing duplicates
How does it work?

When adding a contact or company with already existing data in your database, a notification will pop-up about the detected duplicates. The pop-up window contains information about the name of the contact/company and the responsible manager.

The Anti-duplicate widget in comparison with the Kommo built-in tool

  • The widget will show even those contacts which were unavailable for the manager in accordance with the access rights setup. When hovering over the contact, the responsible user will be shown.
  • This widget will not let you add a duplicate contact, the "Save" button will be unavailable if such settings are enabled.
  • In the widget settings you can select users for whom the widget is enabled, users who can save duplicates and the area of work for the widget.
  • In the widget settings you can select fields of a contact or company, which will be checked for duplicates.
  • The advanced system of access rights grants the ability for each user to configure individual settings, in order to prohibit the creation of duplicates, to run a search for duplicates throughout the database, and to combine entities.
  • History of duplicates merging - for each case of merging the widget records the date and time of the merge, the entity type, its name, the name of the user who performed the merge, and the final result.
